Profit vs cash flow: what is the difference

Profit tells you whether the business earns money. Cash flow tells you whether it can pay its bills this month. They differ more often than people expect, and confusing them is one of the most expensive mistakes in a plan.

Key points
  • Profit and loss shows earnings, cash flow shows money in the account
  • Loans, equipment, inventory and payment terms make them diverge
  • Read both: profit for the model, cash for survival

Profit and loss

The profit and loss statement counts revenue when it is earned and expenses when they relate to that revenue. Equipment is spread over years through depreciation. Loan principal is not an expense, only interest is.

Cash flow

Cash flow counts money when it actually moves: the client paid, the supplier was paid, the bank took the installment. It is split into operating flows (sales, salaries), investing (equipment) and financing (loans, investments, owner payouts).

What makes them diverge

  • Equipment: full payment in one month, depreciation over years.
  • Loans: the cash arrives at once, the principal is repaid without touching profit.
  • Inventory: paid before the sale.
  • Payment terms: the sale is in profit, the money arrives later.
  • Taxes: accrued monthly, paid on deadlines.
  • Owner payouts: not an expense, but leave the account.
Example

A rental apartment brings $1,400 a month, costs $250 in maintenance and $520 in mortgage interest. Profit is $630. But the mortgage payment also includes $480 of principal, so the cash left is only $150 a month.

How to read both

Look at profit to see if the business model works, and at cash to see if you can get through the next months. A healthy plan has positive profit and never lets cash fall below zero.

FinModel builds both reports from the same blocks, so they always agree, and any number in either report explains where it came from.
