  • Baristas and a manager with payroll costs on top of salaries

  • Fit-out and equipment as a one-off investment in the first month
  • A start-up loan with an amortization schedule
  • Tax on revenue, which you can switch to tax on profit

Numbers to watch

Average ticket × sales per day
Revenue is these two numbers. Check both against cafés within walking distance.
Cost of goods
Usually 25–35% of the price for coffee with food. Above 40% the business barely survives rent.
Rent as a share of revenue
If rent takes more than 15–20% of revenue at full capacity, the location is expensive for this format.
Lowest cash balance
The deepest point of the cash curve shows how much money you need before opening.

Common mistakes in this kind of model

Planning full capacity from month one

A new café takes 4–8 months to reach steady traffic. The template grows sales gradually toward a ceiling.

Forgetting the opening period

Rent and salaries start before the first sale. The model counts them from the first month.

Counting profit instead of cash

Loan repayments and equipment do not show in profit but leave your account. Watch the cash chart.

AI assistant

Check the template against your market

Tell the assistant your city and format. It looks up prices, rent and salaries online, compares them with the template and proposes changes as cards with the effect on profit and cash. You decide what to apply.

Questions

How much does it cost to open a coffee shop?

It depends on the city and format. The template shows the structure: fit-out and equipment, a deposit for rent and a cash reserve for the first months. The AI assistant can look up rent and equipment prices for your city.

How long does a coffee shop take to pay back?

Small cafés usually pay back in 12–30 months. The model calculates your own payback month from your prices, traffic and costs.
